We were called in to aid a recently founded company which specialises in royalty management for recording artists. After a couple of years of operation, they had built up an exceptional client list, working with many of the music industry’s most famous names, but were concerned that their IT provision was holding them back from further development, and was unstable in terms of backups and redundancy.

After a short period of consultation, we recommended an upgrade strategy that suited their specific needs. Being a small company, price was a major factor in their decision-making process, so our proposals had to be financially relevant and appropriate. We also had to factor in that staff perform a lot of their work either at home, or on the road, so any solution could not be entirely reliant on a permanent connection to the office. Furthermore, they had a number of key IT skills in-house, so they were keen that we should not duplicate work that they could perform themselves.

We specified, procured and installed a server to act as a central filestore and mail server. This is backed up nightly to tape to ensure data integrity. We also put in place a new desktop machine in the office for a more comfortable working environment. The server is the central repository for their emails, and gives additional resources such as shared calendars and contacts. However, mail is still collected by each client machine, so as not to interfere with email when out and about. The server and all the client machines are protected by an anti-virus solution which performs automatic updates every morning.

Finally, we set up a small office firewall with VPN capabilities, so that they can connect to the office when out and about.

Whilst we were on-site installing the new equipment, we advised them on how best to clean up their client machines, reinstalling them all to ensure a stable working environment. This simple advice meant they could perform the re-install themselves at no cost.

So we specified a solution which was flexible enough to meet their security, stability and mobility needs - at a price that they could afford.
